Refund and Returns Policy
CedarsHVAC.com is a registered DBA of Benavente Ventures LLC, a Florida limited liability company located at 10737 SW 104th St #1, Miami, FL 33176. This Refund and Returns Policy applies to all purchases made through cedarshvac.com.
We want every customer to be satisfied with their purchase. If you are not, the policy below explains how returns, refunds, and exchanges work.
1. Return Window
You may request a return within 14 days of the delivery date shown on your shipping tracking. Requests received after the 14-day window cannot be accepted.
2. Items Eligible for Return
To be eligible for a return, an item must be:
- In the same condition as received — unused, uninstalled, and not powered on
- In its original packaging with all manufacturer materials (manuals, accessories, hardware) included
- Accompanied by the original order number and proof of purchase
3. Items Not Eligible for Return
The following items are non-returnable:
- Items that have been installed, powered on, or modified in any way
- Refrigerant-containing equipment that has had its factory seal broken
- Special-order items, custom-built systems, or items marked “Final Sale”
- Items returned without prior authorization (see Section 4)
- Items returned more than 14 days after delivery
4. How to Initiate a Return
All returns require a Return Merchandise Authorization (RMA) number issued by our customer service team. To request an RMA:
- Email [email protected] with your order number and reason for return, OR
- Call (305) 850-6693 during business hours (Monday–Friday, 9:00 AM – 6:00 PM ET), OR
- Submit a request through our Contact Us page
We will respond with an RMA number and return shipping instructions within one business day, usually within a few hours.
Do not ship items back to us without an RMA. Unauthorized returns may be refused or delayed.
5. Return Shipping
- The customer is responsible for return shipping costs unless the return is due to our error (wrong item shipped, defective unit, damage in transit).
- We recommend using a trackable shipping method and purchasing shipping insurance for items over $100. We are not responsible for items lost or damaged in return transit.
- Returns should be shipped to the address provided with your RMA, not to our office address unless specifically instructed.
6. Restocking Fee
A 15% restocking fee may apply to non-defective returns of large equipment (mini-splits, heat pumps, complete systems) to cover repackaging and inspection costs. Smaller items (parts, tools, accessories) are not subject to a restocking fee.
7. Refunds
Once your return is received and inspected, we will:
- Email you to confirm receipt of your return
- Notify you of approval or rejection within 2 business days
- If approved, issue a refund to your original payment method within 5–7 business days
Refund processing times depend on your bank or card issuer; please allow up to one additional billing cycle for the refund to appear.
If you paid by PayPal, the refund will be returned to your PayPal balance or original funding source.
8. Exchanges
We offer exchanges for items of equal or lesser value. To request an exchange, follow the return process in Section 4 and indicate the replacement item desired. Exchange shipping is free for the replacement item; the original item must be returned at customer expense unless the exchange is due to our error.
9. Damaged or Defective Items
If your item arrives damaged or is defective:
- Inspect your shipment within 48 hours of delivery.
- Take photos of any damage to the package and the contents.
- Email us at [email protected] with the photos and your order number within 48 hours.
- We will arrange a replacement or full refund at our cost, including return shipping.
Damage claims received more than 48 hours after delivery may be subject to standard return terms.
10. Cancellations
Orders may be cancelled at no charge if cancellation is requested before the order has shipped. Once an order has shipped, the standard return policy applies.
11. Order Errors on Our Part
If we ship the wrong item or quantity, we will cover all costs to make it right — including return shipping, the corrected shipment, and any expedited delivery needed to meet your original timeline.
12. Manufacturer Warranties
Many products sold through CedarsHVAC.com carry a manufacturer warranty separate from this return policy. Warranty claims after the 14-day return window should be filed directly with the manufacturer; we are happy to assist by providing your proof of purchase and any supporting documentation.
